Recruitment operations / Case study

One workspace for the job offers a recruitment team needs to act on.

We developed StaffPower Tools, an internal platform for finding, organizing, and following up on job offers from multiple sources. It gives recruitment teams in Poland and Romania a structured way to capture contacts, filter relevant opportunities, manage work queues, and receive notifications.

The challenge

Job leads are only valuable while a recruiter can still act on them.

Recruitment agencies often need to monitor multiple sources for new vacancies, then manually copy titles, locations, contact details, and source links into working documents. The process is slow, duplicate-prone, and difficult to coordinate across a team.

StaffPower needed an internal system that made opportunity discovery repeatable. Rather than a public job board, the product is a controlled operational tool that turns scattered job-offer data into a searchable pipeline for recruiters.

The recruitment workflow

From a newly found offer to a clear next action.

01

Collect job offers

Bring vacancies from multiple sources into one internal workspace instead of searching every source by hand.

02

Capture usable contacts

Keep job title, company, location, recruiter, email, phone, and source information connected to each offer.

03

Filter the signal

Use targeted filters and exclusion rules to surface the offers that match a recruiter or agency focus.

04

Organize the follow-up

Move offers through clear work queues so teams know what is new, in progress, processed, or worth revisiting.

05

Notify the right people

Turn matching job-offer activity into timely notifications that help teams respond before an opportunity goes cold.

06

Export and share

Package filtered offer data for follow-up and reporting with CSV exports built into the operational flow.

A visible pipeline

Every offer has a place in the team process.

The workspace separates offers by working status so a recruiter can distinguish a newly collected lead from one already reviewed, in progress, processed, starred, or identified as an agency opportunity.

  1. 01New and unprocessed

Freshly collected offers ready for a first review.

  2. 02In progress and starred

Priority opportunities being evaluated or followed up.

  3. 03Processed and agencies

Handled records and agency-related opportunities kept visible for the team.

Operational controls

Find the right offers without losing the full market view.

Search and filters

Search within offers and filter by location, recruiter, source, province, and publication date.

Saved views

Save personal or global filter sets so repeat recruitment searches are not rebuilt every day.

Exclusion rules

Exclude locations, sources, recruiters, or keywords that do not fit the current recruitment need.

Bulk handling

Select groups of offers and move them between queues, mark them for review, delete them, or export them.

Structured offer records

Contact context travels with every lead.
